Short version: your data is hosted in the EU (Germany), we don't use tracking cookies, and we never sell your data. BlueManage doesn't read the contents of your accounting records — we only see what's needed to run the service.

1. Who we are

BlueManage is a software service operated by Wise in Blue (Greece), email [email protected]. It provides management software for businesses — starting with an accounting module (income and expenses, partner settlements, VAT, client commissions, statistics), with more modules (CRM, cleaning, clinics) planned.

2. Data controller & processor

When you (the organization) use BlueManage, you are the data controller of the data you enter — your own company's financial records and any client/contact data you manage through the modules you use. Wise in Blue is the data processor: we process that data only to provide the service, and we do not access your organization's content except for technical support at your request.

3. What we collect

From organizations (our customers)

Name, email, password (encrypted), VAT number, billing and subscription data, and any message you send via the contact form.

Data you enter in the modules you use

Depending on the active modules: financial movements (dates, amounts, descriptions, categories), zones/branches, client and contact records, notes, reminders, and — for the commissions module — booking totals linked to your clients. BlueManage does not collect end-consumer personal data unless you choose to enter it yourself (e.g. a client's name in a CRM module).

4. Where your data is stored & service providers

Database and files: Supabase, EU region (Frankfurt, Germany). The landing-page contact form is handled by Formspree (USA) — it only receives the message of someone asking about BlueManage, never your organization's data.

5. How long we keep it

Accounting and financial records are typically subject to statutory retention periods under tax law (which can require keeping records for several years) — BlueManage does not delete this data automatically. Retention follows the law applicable to your own organization: you are responsible for keeping records as long as your local tax and accounting rules require, and for deleting or exporting data when it's no longer needed. You can export or delete your organization's data at any time from the admin panel.

Free trials. If you start a BlueManage trial, it runs for 14 days. Your organization is created already pre-filled with fictional sample data so you can see the product in use — you can edit or delete it freely, and it becomes your own data if you subscribe (no migration needed). If you don't subscribe by the end of the trial, your account is locked for a further 30 days (a grace period, so we can follow up and you can still decide to subscribe); your data is not deleted during this time, just not accessible. After the grace period, your account and all its data are permanently deleted. If you subscribe, your trial account simply continues as a regular subscription.

6. Cookies & analytics

BlueManage uses only essential, technical storage (your theme preference, login session). We do not use advertising cookies and we don't track you across sites.

To understand overall usage we use two analytics services:

Cloudflare Web Analytics — a privacy-first service enabled at infrastructure level. It collects aggregated, anonymous statistics (such as page views and country) without cookies, without profiling and without identifying individual visitors.
Google Analytics 4 — used with Google Consent Mode v2. Until you accept, GA4 runs in cookieless mode: it stores nothing on your device and only sends anonymous, aggregated pings. Only if you press Accept on our cookie banner does it use analytics cookies. Advertising storage and personalisation are always denied, on every page, whatever you choose.

Because GA4 can set analytics cookies after consent, we show a cookie banner on your first visit, with an equally prominent Reject option. Your choice is stored in your browser’s local storage (not in a cookie) and you can change or withdraw it at any time via the Cookie policy page, where every cookie and storage key is listed.

7. Your rights (GDPR)

Access, rectification, erasure, restriction, portability and objection. You can contact us at [email protected]. You may also lodge a complaint with a supervisory authority — for Wise in Blue this is the Hellenic Data Protection Authority (HDPA), dpa.gr — or with the authority of your own country.

8. Sub-processors

These are all the third parties that may process data on our behalf to run BlueManage. We update this list when it changes; if you are a customer and want to be notified in advance of a new sub-processor, write to [email protected].

Transfers outside the EU rely on the European Commission’s Standard Contractual Clauses and, where applicable, the EU–US Data Privacy Framework. Your operational data stays in the EU (Germany).

9. Security, backups & continuity

Security

All traffic is encrypted in transit (HTTPS/TLS); data is encrypted at rest by our database provider.
Row Level Security is enforced at database level: every query is filtered by the database itself, so one customer’s data is technically unreachable from another customer’s session — it is not merely hidden by the interface.
Role-based access with least privilege: you can give collaborators access limited to what they actually need.
Audit log of significant actions, visible to the account owner.
Passwords are hashed, never stored in readable form, and we cannot see them.
We do not store credit card numbers: payments, where active, are handled by a specialised provider.

Backups

You can take a complete backup of your data at any time from your panel, in open formats (JSON and CSV). We strongly recommend downloading one periodically and keeping it outside the platform — that copy is under your control and no incident on our side can touch it. We also take an encrypted daily backup of the whole database, kept on storage restricted to the European Union and separate from the database, with 30 days of retention. Our recovery objectives are published in the Data Processing Agreement.

Business continuity

If Wise in Blue were ever to discontinue BlueManage, customers would receive written notice with a reasonable period to migrate, and the export functions would stay available throughout it, so you can leave with your data in open, reusable formats. Your data is yours: we never sell it, never use it for advertising, and never use it to train AI models.

10. Terms of service (summary)

The service is provided on a subscription. You're responsible for your account and for the accuracy of the data you enter. The software and the BlueManage brand belong to Wise in Blue; your content stays yours. Full terms available on request. If you are a business customer, our Data Processing Agreement (GDPR Art. 28) applies automatically and sets out how we process personal data on your behalf.

11. Local laws & your obligations

BlueManage is a tool to help you manage your business's accounting and operations — it does not replace your legal duties. You, the organization, are solely responsible for knowing and complying with the laws and regulations that apply to your business (bookkeeping and tax obligations, VAT reporting, invoicing rules, and any other local requirement), which differ from country to country. Any figures, categories or records you create through BlueManage are your own: it is your responsibility to make sure they are accurate and compliant. When in doubt, check with your accountant or tax advisor.
